Documents for recruitment

A candidate applying for admission to the Doctoral School shall submit the following documents to the Doctoral School Office:

1. An application for admission to the Doctoral School, generated from the IRK system, indicating the educational path to which the candidate is applying.

2. A research project (prepared in English) signed by the candidate and the proposed supervisor and/or auxiliary supervisor, if known at the stage of recruitment.

The research project shall include:

a) the title of the project,
b) justification for the choice of the research topic,
c) specification of the field and discipline in which the research will be conducted,
d) definition of the research objective,
e) description of the research material and methods, with reference to the most recent scientific literature in the relevant field,
f) expected benefits of the research,
g) an abstract in English,
h) an estimated research budget and the expected sources of funding,
i) indication of the scope of work to be carried out by the candidate and by collaborators.

3. A photocopy of the diploma confirming completion of long-cycle Master’s studies, second-cycle studies, or equivalent studies.

a) In the case referred to in §3 section 2, a photocopy of the diploma confirming completion of first-cycle studies or a certificate confirming completion of the third year of long-cycle Master’s studies or equivalent studies.

b) In the case referred to in §3 section 3, a photocopy of a diploma or certificate issued abroad together with its translation prepared by a sworn translator (included on the list maintained by the Minister of Justice or a foreign sworn translator).

A foreign diploma or certificate and its sworn translation prepared abroad shall additionally bear an apostille or be legalized in accordance with generally applicable regulations.

A document confirming recognition of the foreign diploma, in accordance with the applicable regulations, as equivalent to a Polish diploma confirming completion of long-cycle Master’s studies or second-cycle studies shall also be required (photocopy with the original available for inspection).

This requirement may also be fulfilled by attaching, together with a diploma issued outside the Republic of Poland, a “Statement of Recognition” issued by the NAWA KWALIFIKATOR system, available at:
https://kwalifikator.nawa.gov.pl/

The statement shall contain the annotation:
“Entitles the holder to apply for the award of a doctoral degree / admission to a doctoral school.”

Apostille or legalization

It may be verified whether the country in which the document was issued is a party to the Hague Convention Abolishing the Requirement of Legalisation for Foreign Public Documents.

If the country is a party to the Convention, the document shall bear an apostille.
If the country is not a party to the Convention, the document shall be legalized.

c) Candidates who at the time of the recruitment process do not possess a diploma confirming completion of long-cycle Master’s studies or second-cycle studies shall submit a certificate confirming completion of such studies. The required diploma documents shall be supplemented within a period not exceeding 14 days from the date of obtaining them.

4. A curriculum vitae signed by the candidate, including a description of scientific interests.

5. Documented academic results obtained during studies, in the form of a photocopy of the diploma supplement (original available for inspection).

a) If the candidate does not possess a diploma supplement, a photocopy of a certificate issued by the Dean’s Office confirming the average grade from examinations for all years of study, together with the individual grades from all examinations, shall be submitted.

b) If the diploma supplement does not include information on the average grade obtained during the course of studies, an additional certificate issued by the university confirming the average grade shall be attached.

6. Information on scientific activity, in particular regarding: publications (only publications assigned a DOI number by the date of submission of documents shall be taken into account), research activities within student scientific associations, active participation in scientific conferences, prizes, awards, and research internships, generated from the IRK system and signed by the candidate.

7. A photocopy of a document confirming knowledge of a foreign language at a level not lower than B2, in accordance with the Regulation of the Minister of Science and Higher Education of 30 July 2025 on the types of documents confirming knowledge of the language in which studies are conducted (Journal of Laws of 2025, item 1045).

8. A candidate questionnaire generated from the IRK system.

9. A photocopy of the license to practice a profession (original available for inspection), in the case of candidates whose scientific work involves participation of patients.

a) Candidates who at the time of recruitment do not possess the license to practice a profession shall supplement the document immediately after obtaining it, but not later than the date of commencement of research involving patients.

b) In the case of candidates who are not employed in the unit in which the research project is conducted, a declaration shall be submitted stating that research involving patients will be carried out under the direct supervision of a person employed in the unit where the research project is conducted, indicated by the candidate (including that person’s details), together with the written consent of that person to supervise the research.

10. A photocopy of a certificate confirming three doses of hepatitis B vaccination, if the candidate will be in contact with patients during the course of studies or research (original available for inspection), or a declaration stating that the research does not involve contact with patients.

11. A photocopy of a booklet confirming valid epidemiological examinations or a certificate for sanitary-epidemiological purposes (original available for inspection), or a declaration stating that the research does not involve contact with patients.

12. An electronic photograph in accordance with the IRK system guidelines.


Scans of the documents referred to in points 2–7, together with materials confirming the declared scientific activity (e.g. at least the title page confirming authorship of a publication), shall be uploaded by the candidate to the IRK system.
The original documents shall be submitted together with the application.

Information concerning scientific activity that is not confirmed by the submitted materials shall not be taken into account by the recruitment committee when assessing the candidate.

Documents referred to in points 3–11 shall be submitted in Polish or English.

 A certified translation into Polish shall be understood as a translation certified by:

1. a person entered by the Minister of Justice on the list of sworn translators or

2. a person registered as a sworn translator in a European Union Member State, a Member State of the European Free Trade Association (EFTA) - a party to the Agreement on the European Economic Area or a Member State of the Organization for Economic Co-operation and Development (OECD), or

3. a consul of the Republic of Poland, competent for the country on whose territory or in whose educational system the document was issued, or

4. a diplomatic representative office or consular post accredited in the Republic of Poland of the country on whose territory or in whose educational system the document was issued.
